Job Description:
The Document Management Specialist is responsible for overseeing the implementation and ongoing maintenance of the Global Shoe Production and Sourcing’s (GSPS) document management system. This includes managing document workflows, ensuring document implementation, Deep Dive Audit at units, product quality documents enhancing, and providing documentation support as required within the department.
Responsibilities:
· Ensure that processes needed for group management system are standardized, documented and implemented across Global Shoe Production and Sourcing (GSPS) owned entities.
· Provide document writing support for any new or revised GSPS document
· Lead and administer the document lifecycle and workflows, including document creation, revision and review process to ensure global stakeholders are consulted.
· Collect and prepare document management system metrics/trends to management.
· Educate stakeholders on the principles and requirements in establish document management system manuals, procedures, instructions and standards.
· Support cross-functional/sites tasks or projects to achieve the needed document management system improvements and initiatives.
· Perform group audits across the Shoe Production Business Units to ensure the compliance to ECCO requirements and contribute to the improvement of group management system.
Requirements:
· Bachelor’s degree (or equivalent) in relevant field.
· 3+ years of experience in document management, records management, or a related field.
· Proficient in Microsoft Office Application (Word, Excel, Power Point).
· Experience with document management software and systems, such as SharePoint, Power Automate, Power App or Power BI.
· Strong knowledge of document management best practices, policies, and procedures.
· Excellent writing, communication and interpersonal skills.
· Strong analytical and problem-solving skills.
· Ability to work independently and as part of a team.
· Experience in auditing.
