PA for CIO

We are looking for an experienced Personal Assistant to ECCO’s recently appointed CIO. This position offers a great opportunity for individuals with exceptional service skills and a strong ability to coordinate calendars, tasks, activities, and events in an independent and professional manner.

You should be able to quickly earn trust, demonstrate a strong sense of ownership, and communicate effectively with individuals at all levels. Strong attention to detail, organizational skills, priority management and professionalism in handling confidential information are essential, as is integrity and discretion when working both with internal and external stakeholders.

In this role, you will manage confidential information with professionalism and interact regularly with senior executives. Key responsibilities include managing administrative workflows and coordinating tasks efficiently, overseeing a complex calendar by planning and coordinating meetings, preparing and handling presentation material, coordinating domestic and international travel, a wide range of other day-to-day tasks.

This role can be situated in Copenhagen (Carlsberg Byen), Bredebro or Tønder, and travel to participate in leadership meetings will be expected.

The job
In this role, you will report to and support the CIO, ensuring a smooth, effective and well-organised working day and agenda. It is expected that you are able to meet tight deadlines and juggle multiple critical requests while maintaining flexibility. You will understand business priorities, demonstrate the ability to proactively anticipate needs and be solution-oriented. You will work alongside other PA’s within the organization to drive best practices and cross collaboration of efficiencies.

Your tasks will include:

  • Being in charge for the administration and preparation of the CIO’s agenda, travels, assignments, and ad-hoc tasks.
  • Transcribe and revise documentation including, but not limited to, drafts, proofreads internal and external, e.g. correspondence, memos, flyers, agendas, meeting minutes, policies, etc.
  • Prepare and manage internal information for relevant stakeholders, handle invitations, organize meetings (including agenda, invitations, materials, catering, and room arrangements), and ensure thorough follow-up.
  • Coordinate corporate travel for key stakeholders (itineraries, hotels, transport, prepare program, or liaise with local business unit/host where required), other practicalities incl. visa applications etc.
  • Support and participate in Digital & IT Leadership Meeting, workshops and Digital & IT townhalls, whilst taking responsibility for planning and facilitating the meetings.
  • Support communication flows across the Digital & IT organisation of 300 employees in 15 countries, helping to optimize where needed and establishing ways of working to ensure all employees are kept informed regularly of changes and strategy.
  • Various ad hoc support to the CIO (company car (service, etc.), greetings, passport, various memberships, etc.).
  • Various other ad hoc tasks.

Over time, there is the possibility to take on additional tasks supporting the execution of our Digital Uplift strategy with focus on communication.

Your profile
You are an experienced and mature person, who can navigate at an executive level and with a high degree of discretion and confidentiality. You are recognised as a proactive person, who can effectively plan, manage multiple tasks, prioritise, execute and follow-up in a proactive and timely manner. It is natural for you to take ownership and deliver with high diligence.

Your professional experience includes at least 5 years of experience as a PA, EA, or Secretary for senior executives in large international organizations, where you have gained solid experience and we believe you: 

  • Have an Education on Bachelor’s level.
  • Have experience with managing emails and calendars, coordinating meetings, preparing presentations, making travel arrangements and more.
  • Have a flair for numbers and budgets.
  • Are good business understanding and good stakeholder management.
  • Are fluent in both written and spoken Danish and can communicate effortlessly in English at a business level, both written and spoken.
  • Are familiar with IT and an experienced user of the Microsoft Office suite.
