Executive Secretary for Managing Board

Are you a master of organisation with a sharp eye for detail and a talent for streamlining executive operations? Do you thrive in a fast-paced environment where clarity, structure and confidentiality are key to effective decision-making?

As our new Executive Secretary, reporting to the VP Executive Office, you’ll support the executive management team by creating structure, managing documentation and ensuring effective communication flows across the Managing Board. Your work will help streamline board operations, enable faster decision-making and safeguard our governance standards.

You bring structure and executive-level standards
We imagine you are highly organised, detail-driven and able to maintain a calm overview in a dynamic, high-stakes environment. You’re comfortable engaging with senior stakeholders, handling confidential material and bringing structure to complex information flows. You have a natural sense for tone and style, and your written communication is clear, concise and well-crafted.

In your day-to-day work, you will:

  • Prepare clear, structured agendas and take accurate minutes for executive meetings.
  • Organize and prepare briefing materials and background documents for executive meetings and board meetings.
  • Track follow-ups and maintain logs of key decisions and action points.
  • Draft internal instructions, market memos and executive communications.
  • Refine documents and presentations to ensure consistency, clarity and professionalism across all executive-level materials.
  • Proofread and refine documents to ensure clarity, consistency, and professionalism.
  • Manage the board portal and maintain the global annual wheel/calendar.
  • Ensure compliance with governance policies, bylaws, and regulatory requirements as they relate to board operations.
  • Ensure all executive documentation is aligned with corporate standards and timelines.
  • Review and standardize materials submitted to the executive team from across the organization.
  • Maintain and improve filing systems, document archives, and retrieval procedures.

We believe you’re the right fit if you:

  • Have a Bachelor's degree in Business Administration, Public Administration, Office Management, or a related field.
  • Bring at least 5 years of experience in executive administrative roles, including direct support to senior management or board-level governance.
  • Have experience supporting high-level meetings, taking minutes, and drafting formal resolutions.
  • Can work independently with minimal supervision in a fast-paced environment.
  • Have strong attention to detail and the ability to multitask under pressure.
  • Bring strong written and verbal communication skills in Danish and English.
  • Demonstrate knowledge of corporate governance and board procedures.
  • Have strong organizational and time-management abilities.
  • Are proficient in Microsoft Office Suite, especially PowerPoint and Word.
  • Are discreet, a person of integrity, and able to handle confidential and sensitive information.
